Invoice Number Format

Used for invoice numbers. {YYYY} is the year and {####} is the next number.

Next Invoice Number

The number the next invoice gets ({####} in the format). It goes up by one each time.

Payment Terms (days)

Days until an invoice is due.

Invoice Terms

Shown at the bottom of every invoice page. [company_legal_name] fills in your Legal Name.

Invoice Links Work for (days)

How long the link in an invoice email opens that invoice without signing in.

Invoice Email Subject

The subject of invoice emails; tags like [invoice_number] and [invoice_total] fill in for each invoice.MoreLess

What It Does: Sets the subject line of every invoice email.
What It Changes: New invoice emails use it. [cash_discount_line] and [invoice_bank_total] read as blank and the balance while Cash Discount is off.
How to Use: Type the subject.
Add tags like [invoice_number] or [invoice_total].
Click Save and send yourself a test.

Invoice Email

Must contain [invoice_link]. The PDF is attached.

Reminder Subject

Used by Send Reminder on Aging.

Invoice Reminder Email

Sent only when someone clicks Send Reminder. Nothing goes out on its own.

Prepay Discount (%)

The prepay discount: estimates show "Prepay and save $X" and paying the season up front saves this percent; 0 hides it.MoreLess

What It Does: Sets the discount for paying the whole season up front.
What It Changes: The prepayment waits as credit and each invoice uses it up. An estimate template can set its own.
How to Use: Type the percent (0 hides it).
Click Save.
Check an estimate for Prepay and Save.

Cash Discount

On: estimates, invoices, the portal and the pay form show a lower price for paying by the methods below.MoreLess

What It Does: Offers a lower price for paying by cash, check or bank.
What It Changes: Recording that payment takes the discount off. It's a discount off the regular price, never a card surcharge, and it's off while Card Fees is Surcharge.
How to Use: Turn Cash Discount On.
Pick the methods below.
Click Save and check an invoice.

Cash Discount (%)

How much paying by the methods below takes off the regular price.

Cash Discount Applies To

Bank (ACH) Cash Check

Payments that get the cash discount. Bank (ACH) is the default.

Minimum Payment ($)

Smallest partial payment a customer can make online (Card Payments). 0 = any amount.

Late Fees

Off: no late fees. On: Aging offers Add Late Fees for invoices past due long enough (once per invoice, never automatic).

Late Fee Type

A flat amount or a percent of the balance.

Late Fee Amount

Dollars, or percent when the type is Percent.
