Equipment, hours and service reminders
Mowers, sprayers and trucks with hours or miles, service intervals, the maintenance log and reminder Tasks.
Off until an admin turns it on in Settings > Modules > Equipment. Every choice is a setting on its page's Settings button.
- Open Equipment under Work and click Add Equipment. Pick whether it tracks hours or miles and type today's reading.
- On the equipment, add a service: e.g. Oil change every 50 hours or 180 days, whichever comes first.
- Type a new reading now and then. The bar fills up, turns orange when due soon and red when due.
- When service is done, click Log Done next to it. That resets the interval and closes its reminder Task.
With Make A Task When Service Is Due on, a due service makes one Task in the app (no email or text).
Where and How
equipment.hours_miles_today
The hour meter or odometer reading today.
equipment.off_retired_leaves_list
Off: retired. It leaves the list and makes no Tasks; its log is kept.
Service Intervals
Counts from today's reading.
Service Intervals
Products › Equipment › Unit
Regular upkeep for this unit, like an oil change every 100 hours or 180 days.
What It Does
Tracks each interval with when it was last done, when it's next due and its status.
What It Changes
When one comes due it shows Due, and a Task can be made for the office (Equipment settings). Log Done starts the count again.
How to Use
- Click Add a Service and set Every (hours) and or Every (days).
- Click Log Done after the work.
- Watch Status for Due Soon.
Maintenance Log
Products › Equipment › Unit
Write down upkeep and repairs on this unit, with cost, vendor, parts and downtime.
What It Does
Keeps a dated list of what was done, the reading, cost and vendor.
What It Changes
Logging an interval Service resets that interval. Parts come off On Hand. Down From with no Back in Service marks it Down. Costs add up in Reports.
How to Use
- Pick the Service or Other / Repair.
- Fill in what was done, the date and cost.
- Click Log It.
Spray Rig
Equipment > a Sprayer
The rig's tanks, nozzle, pressure, spacing and how many nozzles each lever opens.
What It Does
These numbers drive the Tank Calculator: gallons per 1,000 ft² come from the nozzle's GPM on the Speed Sheet, the width from the open levers.
What It Changes
Saving changes the Tank Calculator and Quick Calc for this rig right away. Past Services keep their numbers.
How to Use
- Press Edit.
- Fill Tanks, Each Tank, Nozzle, Pressure, Nozzle Spacing and the three lever counts.
- Add the Speed Sheet rows.
- Save.
Manual and Files
Equipment > a piece of equipment
The machine's photo and its manual PDF.
What It Does
Read Manual with AI (Spray Rigs) reads the manual once to fill the rig numbers for you to check before Save.
What It Changes
The photo shows on the rig and in Route. AI reading only fills the form; nothing is saved until you press Save.
How to Use
- Add the photo.
- Add the manual PDF.
- On a Spray Rig, press Read Manual with AI and check the numbers before Save.
Speed Sheet
Equipment > a Sprayer > Quick Calc
The nozzle chart by nozzle: PSI, drop size, GPM per nozzle and gallons per 1,000 ft² at the rig's speeds. Tap a row to try it.
What It Does
Gallons per 1,000 ft² = GPM x 5,940 / (mph x spacing in.) / 43.56, so one GPM covers every speed. A pressure not on the sheet is estimated from the same nozzle.
What It Changes
Tapping a row only tries it. Save to This Rig keeps it; Edit adds or changes rows.
How to Use
- The nozzle in use opens highlighted.
- Tap a row to try it.
- Press Save to This Rig to keep it.
Quick Calc
Equipment > a Sprayer
Try speed, nozzle, pressure, levers and tanks; nothing changes until Save to This Rig.
What It Does
The gauges over the rig photo show PSI, MPH, GPM per nozzle, gallons per 1,000 ft², area and minutes per tank, and fills for the area. Open levers light their nozzles; turning a lever off shows What Changed.
What It Changes
Nothing changes until Save to This Rig, which keeps the speed, nozzle, pressure, levers and tanks it opens with.
How to Use
- Move speed, nozzle, pressure, levers and tanks.
- Read the gauges and What Changed.
- Press Save to This Rig to keep it.
Tank Mix
Products > a chemical product
How much of this product goes in each tank of your rig.
What It Does
Uses the product's Turf, Landscape or Aquatic rate and the rig's gallons per 1,000 ft². Wand work (Landscape Bed, Landscape Foliage, Aquatic) uses your Used On gallons instead of the rig.
What It Changes
Only shows amounts; it never changes the product's rates or uses.
How to Use
- Open a chemical product.
- Pick the rig.
- Read the amount per tank.
Tank Calculator
Field > a Service > Tank Calculator
The mix per tank, for all tanks on, for the area, or for the gallons you add on a refill.
What It Does
Pick the rig, Used On, area and products. Refill: type the gallons added for just those amounts. Remember This Mix keeps today's mix on that rig; Same as Last brings it back. Turning a lever off shows What Changed: the pass width, the open nozzles' PSI and the change in gal per 1,000 (same math as Equipment > Quick Calc).
What It Changes
Only shows amounts. Remember This Mix saves today's mix on that rig for Same as Last.
How to Use
- Open a Service on Route and press Tank Calculator.
- Check the levers and tanks you run.
- Read Per Tank or All Tanks On.
- On a refill, type the gallons added.
Rachio
Equipment › Controllers
Rachio fleet actions for your linked controllers: Pause All, Resume All and Adjust All (Reset All under Adjust All).
What It Does
Shows only when Rachio is on and at least one controller is linked, and acts only on linked Rachio controllers. Other controllers (pool controllers, thermostats, unlinked) are listed below with no Rachio actions.
What It Changes
Only shows status. Linking or controlling happens on a controller's own page.
How to Use
- Turn on Rachio or Hydrawise.
- Paste the API key.
- Rachio: get Complete Access.
- Open it, press Link.
Favorite
Equipment › Controllers · Dashboard Controllers widget
Star a controller to keep it at the top and in the widget's big spot.
What It Does
Starred (Favorite) controllers always sort first on the Controllers page and the Dashboard Controllers widget, and the first one takes the widget's big spot with its zones and Quick Run. Inside Favorites and the rest, watering comes first, then paused or rain skip, then ready, then offline, then client name. A Favorite is for the whole company.
What It Changes
A star is for the whole company and moves that controller to the top right away.
How to Use
- Tap the star beside a controller.
- It moves to the top and the widget's big spot.
- Tap the filled star to remove it.
Rachio
Property > Equipment > Irrigation Controller, or Controllers
Live status, schedules, rain delay and zone controls for a linked Rachio.
What It Does
Link a controller visible to your key, refresh its zones onto the Zone Card (names only), and start, stop or set rain delay when you have Control Rachio Controllers.
What It Changes
Start, Stop and Rain Delay change the real controller right away, and each one is logged.
How to Use
- Customer shares Complete Access (or your Pro business code).
- Pick the controller and press Link.
- Team Leaders and Admin can Start Zone, Stop or Rain Delay.
Convert
Field > a Service > Tank Calculator, or Equipment > a Sprayer > Quick Calc
A label rate to the amount for a tank or a partial fill, in the unit you measure with.
What It Does
Pick a product to use its label rate from Products, or type a rate. Amount = rate per 1,000 ft² x gallons in the tank / gallons per 1,000 ft² (the same number as the gauges). The pills show the same amount in the other units: fl oz, pints, quarts, gallons, mL and L for liquids; oz, lb, g and kg for dry.
What It Changes
Only shows amounts; nothing is saved.
How to Use
- Pick a product or type a rate.
- Type the gallons.
- Read the amount in the unit you measure with.
From the same help as the card in the app.
